Position Summary

Under supervision and direction, this position provides clerical and administrative support to the employment functions within the Human Resources Department, as well as to other Human Resources staff members. Responsibilities for this position include, but are not limited to, greeting and assisting visitors, answering phones, assisting with assigned recruitment and onboarding tasks, maintenance & processing of employee records through completion of required forms, the District's HRIS systems, and/or employee files. This position must ensure accuracy of work and maintain strict confidentiality.

 

Education

  • Required - High School Diploma or General Education Diploma (GED) and three (3) years of experience as indicated below. or
  • Required - Bachelor's Degree

 

Minimum Requirements

  • Required - Minimum of 3 years of experience in Human Resources or in a similar position; candidates with a Bachelor's Degree will be considered in lieu of this requirement.
  • Preferred - Experience performing recruitment and/or onboarding tasks
  • Preferred - Experience utilizing various interviewing methods (i.e. telephone and face to face) and providing detailed documentation.

 

Licenses, Certifications and/or Testing

  • Required - Have and maintain a valid driver’s license Upon Hire
  • Required - Pre-employment Background Check & Drug Screen Upon Hire

 

Knowledge, Skills and Abilities

  • Ability to act independently to carry out the duties and responsibilities of the position with minimal supervision, including the ability to establish work priorities and meet established deadlines.
  • Efficient written and verbal communication skills, in English, to assist internal and external customers, co-workers and management professionally, regardless of provocation.
  • Demonstrated attention to detail and ability to quality check documentation, reports, correspondence, and data files.
  • Ability to work independently with efficient time management skills, adapt to changing priorities, meet deadlines, manage multiple projects simultaneously, and work well under pressure.
  • Proficiency with personal computers, tablets, and/or other electronic devices to include familiarity with, but not limited to, Microsoft Office Suite (Excel, Outlook, Word) and enterprise wide software (e.g., SAP). (Intermediate proficiency)
  • Ability to learn new or upgraded computer software as required.
  • Keyboard speed of 40 w.p.m.

 

Essential Functions

  • Prepare and distribute external and internal job postings.
  • When directed, assist with the review of internal job applicants to ensure Minimum Qualifications for each position are met.
  • Prepare various companywide communications for new hires and departures from the District.
  • Prepare and communicate new hire information to candidates and the hiring manager at various steps in the new hire process.
  • Respond to active employees and candidates’ questions, emails and phone calls related to job postings, employment verifications and SuccessFactors navigation.
  • Update employment related information in the District’s enterprise software, as directed (SuccessFactors).
  • Schedule keyboard tests, interviews as needed, pre-employment drug testing, musculoskeletal testing or other pre-employment testing for applicants and onboarding for new employees.
  • Assist with oversight of pre-employment background checks ensuring third party vendors meet requirements.
  • Administer keyboard tests as required for posted jobs.
  • Assist with preparing and issuing employee & contractor I.D./Security Access Cards.
  • Maintain employment and personnel records of all District employees.
  • Perform compilation and maintenance of various reports such as the monthly board script, weekly requisition status, new hire spreadsheets and other employment related data sets.
  • Assist with coordination of the District’s Summer Student Worker Program with direction and oversight from the Manager, Employment
  • Manage all Career Fair registrations and when needed attend fairs as a representative of the District.
  • Prepare end of the month reports on employee count, new hires, terminations, and other changes.
  • Maintain familiarity with other clerical work and back up other Human Resources Assistants during vacations or illnesses as required.
  • Prepare letters and/or memos for employment matters.
  • Handle stress related situations with composure and professionalism.

Physical and Environmental Requirements

  • Office: Work is primarily performed in an office setting amid normal conditions of dust, odors, fumes, office lighting and noise.

 

Hybrid Flexible Work Arrangement

Job may be eligible for a hybrid in-office and work from home flexible work arrangement.
